Moving your society's accounts from Excel to an app

Excel sheets and WhatsApp groups work until the treasurer changes or a member questions their dues. Moving to an app takes a weekend if you plan it.

1. Gather what you have

  • A list of buildings, wings and units (flats, bungalows, shops, offices) with areas.
  • Members' names and mobile numbers, owners and tenants.
  • Each unit's arrears or advance as of the start date.
  • The current rate card: charge heads and how each is worked out.

2. Choose a clean start date

Start at the beginning of a month, ideally of a quarter or financial year. Enter opening balances as of that date; older history can stay in Excel, kept safely.

3. Set up and check

Enter the units, rate card and opening balances, then raise the first month's bills and compare a few with your Excel sheet before sending them out.

4. Bring members in

Tell members in the WhatsApp group and on the notice board. Members log in with their mobile number; share their first password privately.

5. Run both for a month

Keep Excel alongside for the first month, then retire it.

Frequently asked questions

Will members need to download an app?

The Android app is easiest, but members can also use myNest in any browser at mynests.in/login.

Can we bring in last year's accounts?

Opening balances are enough to start. Keep older records as documents for the auditor.
